
Every two years, one of our biggest pharmaceutical clients holds their global regulatory meeting—a titanic week-long affair that draws hundreds of people from around the world. This year was our third time running the show, and we’ve got it down to a science.
Planning began well over a year in advance, with our Events team meeting the client, planning the agenda, creating a theme, coordinating all of the content, shooting video around the world, and researching and managing guest speakers and entertainment. Brella sent 17 staff members to the meeting to keep things running smoothly.
PowerPoint specialists kept up a steady flow of content in the main plenary space and the six breakout rooms for the 650 attendees from 63 different countries. Our Photography and Video teams documented everything that happened, editing on the fly to put together a recap video for the closing day. The Events team, with a helping hand from Design, put together 154 signs and 23 unique posters as part of a staggering 2,653 promotional materials for the expo portion of this event.
On the tech side, it was a breakthrough year for us as we introduced electronic beacons into the mix. With these little wonders in play, attendees could download schedules and maps as well as presentation materials to a custom developed Brella app on their mobile device, meaning a whole lot less to carry as they moved from room to room.
Putting this together meant late nights and early mornings. Sleep was in short supply, but the Brella Brigade stayed strong and kept things rolling. The show must go on.
Brella PowerPoint Specialist Ashley Kunecke sums up the big event experience: “While you are running around trying to control the chaos, you are also under the eye of the client. All smiles, despite the challenges.”
Don’t get her wrong, however. She wouldn’t have it any other way.
